Request for Quote (RFQ): Virtual Event Management Services & Platform for SBCCOG's General Assembly

The South Bay Cities Council of Governments (SBCCOG) is seeking virtual event management services and a platform to conduct our annual General Assembly scheduled for Thursday, March 18, 2021.

The SBCCOG is a joint powers authority of 16 cities and the South Bay unincorporated areas of Los Angeles County that share the goal of maximizing the quality of life and productivity of our sub-region. Information on the SBCCOG can be found at: www.southbaycities.org.

Overview/Quote Submission

Vendors provide a list of their services.

Interested firms must provide a scope of services and schedule along with associated costs (labor + material). Quotes should state the length of time which pricing remains in effect.

The selected consultant/firm will be expected to execute an agreement substantially the same as the standard contract (Attachment A, attached below).

Timeline

  • Monday, October 12, 2020 - RFQ released
  • Thursday, October 22, 2020 - Questions

Submit all questions in writing via email to info@southbaycities.org, on or before (October 22, 2020). Answers will be posted by 4:00 P.M. (October 26, 2020) at: www.southbaycities.org.

  • Monday, October 26, 2020 - Formal response to questions posted online
  • Thursday, November 5, 2020 - Due date (by 4:00 P.M.)

Quotes received after this date and time will be rejected. Requests for extensions will not be granted. Quotes or unsolicited amendments to quotes received by the SBCCOG after the acceptance date will not be considered. Submit via email to Chandler Sheilds, Environmental Services Analyst at info@southbaycities.org. E-mailed quotes must be print-ready. No fax or mailed quotes will be accepted. All e-mailed submissions will receive a confirmation e-mail within 1 business day. If you do not receive a confirmation e-mail from your quote submission, please contact Chandler Sheilds at 310-371-7222.

  • Thursday, November 19, 2020 - Recommendation of preferred consultants to SBCCOG Board of Directors
  • Monday, November 23, 2020 - Notice to proceed (pending SBCCOG Board contract approval)

THE SBCCOG WILL NOT BE RESPONSIBLE FOR ANY EXPENSES INCURRED BY A FIRM IN PREPARING AND SUBMITTING A PROPOSAL. THE SBCCOG RESERVES THE RIGHT TO REJECT ALL PROPOSALS AND WILL SELECT THE MOST QUALIFIED CONTRACTOR AND NOT NECESSARILY THE LOWEST BIDDER. THE SBCCOG ALSO RETAINS THE RIGHT TO WAIVE IRREGULARITIES IN THE PROPOSAL.
